How to password protect an Excel file

Spreadsheets hold the numbers people are most careful about. A payroll sheet for the accountant, a household budget with account balances, a customer list with emails and phone numbers, a financial model shared with a prospective buyer. Excel files are small enough to attach to anything, which is exactly why they end up in more inboxes than intended.

This guide explains the protection options inside Excel and where they stop, then shows how to put a password on an Excel file in Fabric and share it as a link you can manage after it’s sent.

How people usually password protect an Excel file

Excel’s own encryption is the usual first step. On Windows it’s File, Info, Protect Workbook, Encrypt with Password, and Excel for Mac has a similar password option for opening the file. The workbook then asks for the password whenever it’s opened, wherever the copy ends up. That’s convenient for a one-off attachment. Copies sent earlier keep the old password, and changing it means sending a new file to each person who should still have access.

Excel also has Protect Sheet and Protect Workbook Structure, and they’re easy to confuse with a password lock. Those settings control what people can edit, such as locked cells or hidden sheets. They don’t stop anyone opening the file and reading the numbers, so they suit shared templates more than confidential data.

Other habits include zipping the spreadsheet into an encrypted archive, or moving it to Google Sheets and sharing it with named accounts. The archive protects the file in transit and has to be unzipped before use. Google Sheets keeps one live copy, though the recipient needs a Google account, and formulas or formatting can change in the conversion. How to organize invoices as a freelancer shows how spreadsheets often sit alongside the documents they summarize.

Step 1: Upload the spreadsheet

Fabric supports XLSX and CSV files. Drag the file in, paste it, or click Upload a file. If you edit in Excel all day, the Fabric desktop app mounts Fabric as a drive, so you can save the workbook straight into a Fabric folder from Excel on Mac, Windows or Linux.

Many spreadsheets arrive by email, such as a bank export, a sales report from a colleague, or a supplier’s price list. Forward the email to your Fabric email address and the attachment is saved to your library. Fabric only accepts mail from your verified account address, and a team can approve extra senders.

If the spreadsheet belongs with other files, such as receipts for an expense claim or the PDFs behind a set of accounts, put them all in one folder. That folder is what you’ll protect and share in the next steps.

Step 2: Lock the file with a password

Right-click the spreadsheet, or open it and click the three-dot menu, and choose Add password protection. Enter a password. Password protection is on the Pro and Team plans.

Fabric has no password reset, so add the password to a password manager straight away. Once it’s set, anyone with access to the file needs the password to open it. Access lasts 6 hours, then they enter the password again.

For a recurring workbook, like a monthly payroll export, protecting the folder is simpler than protecting each file. A password on a folder also covers files added later, so April’s export is protected as soon as you save it alongside March’s. If you keep spreadsheets for several clients, give each client’s folder its own password so one client’s figures stay separate from another’s.

Step 3: Send it to the people who need it

Click Share. To work with someone over time, such as a bookkeeper who reviews the sheet each month, share it and choose their role: viewer, commenter or editor. External people can use shared links without signing up. The roles and permissions page explains each role.

To deliver the spreadsheet, open the Publish tab and click Create link. Name the link, decide whether to collect engagement analytics, whether to allow indexing by search engines, whether visitors can copy it to their Fabric, and whether to allow downloads. An accountant who needs to work in the numbers will want downloads on. Someone who only needs to see a summary may not. The publish page has more on each setting.

Send the password by a different route from the link. If analytics are on, link analytics show visits with dates, location and device, though not the visitor’s name; a separate named link per person shows which have opened it. How to get your receipts ready for your accountant covers a common version of this handover.

Step 4: Ask questions about the numbers

Fabric’s AI can read XLSX and CSV files. Open the folder with the spreadsheet and ask the AI assistant a question, such as which month had the highest spend or how a total was reached. It answers from the files in that folder and cites them, and you can save the answer as a note to send along with the spreadsheet.

When the password needs changing, perhaps because a contractor’s work has ended, enter the old password and choose a new one, then share it only with the people who still need access. To remove protection, enter the password to confirm.

Frequently asked questions

How do I password protect an Excel file so it can’t be opened?

In Excel, use Encrypt with Password. In Fabric, upload the file, right-click it, choose Add password protection, and share or publish the link. Protect Sheet only limits editing.

What’s the difference between Protect Sheet and a password?

Protect Sheet stops people changing locked cells. A password on the file stops people opening it.

Can I share an Excel file without letting people download it?

Yes. When you publish it, leave Allow downloads off. Visitors can view the published file without a download option.

Does Fabric support CSV files too?

Yes. Fabric supports CSV and XLSX, and the AI assistant can read both. Google Sheets come in through a Google Drive connection, which needs a paid plan.

How long does access last after someone enters the password?

Six hours. They enter the password again after that.

What happens if I forget the password?

There’s no reset. Keep the password in a password manager.

Can I tell whether my accountant opened the spreadsheet?

Yes, if you publish it with analytics on and give them a link named for them. That link’s visits show with dates, location and device. Analytics are on the Pro and Team plans.

Is Excel password protection free in Fabric?

No. It’s on the Pro and Team plans. Uploading files is on the free plan. See pricing.
