How-to guide

How to organize screenshots automatically

Screenshots are a quick way to keep something: a booking reference, an error message, a recipe from a story that disappears in a day, a chart from a webinar, a layout you liked on someone else’s website. They pile up in the camera roll between family photos, and on a computer they fill the desktop with files named by date and time.

This guide covers how people usually manage screenshots and what each method leaves to them, then shows how to collect screenshots in Fabric so each one is read, labeled and grouped by what it shows, without renaming or sorting.

How people usually organize screenshots

Most screenshots stay where they were taken. Phones put them in the camera roll, often with a Screenshots album, and Macs and PCs save them to the desktop or a pictures folder. That keeps them close, and it means a screenshot of a flight confirmation is filed next to two hundred others with no hint of which is which.

Phone photo apps have improved here. iOS and Android can recognize text in images, and Google Photos and Apple Photos let you search for some of it. Those tools work inside the phone’s photo library. Screenshots taken on a laptop, and the notes or documents they relate to, live somewhere else.

Other habits include periodic clear-outs (deleting everything older than a month), dragging keepers into folders by topic, or pasting screenshots into a notes app with a caption. Each works for a while. How to do a digital declutter covers clear-outs in general; the aim here is to keep useful screenshots findable without that effort.

Step 1: Bring screenshots in from every device

On a phone, the Fabric mobile app can import screenshots from iOS and Android automatically, so new ones arrive in your library without any action. You can also send a single screenshot through the share sheet.

On a computer, install the Fabric desktop app, which mounts Fabric as a virtual drive on Mac, Windows and Linux. Move your screenshots folder onto it like any other folder, or drag screenshots into the app. While browsing, the browser extension for Chrome, Safari and Firefox can take a screenshot of the page and save it straight to Fabric.

Step 2: Let Fabric read what each screenshot shows

Every screenshot is processed on arrival. Fabric reads the text in the image and understands its visual content, so a screenshot of a spreadsheet and one of a sunset are treated differently. It creates embeddings so search can match by meaning, writes a summary, and extracts attributes such as content type, topics and colors.

Suggested tags come out of the same step. A screenshot of a train ticket might get tags you’d expect for travel; keep the useful ones and add a comment for anything the image can’t tell Fabric, like “refund requested, follow up in two weeks”.

Step 3: Set up smart collections by type

Screenshots fall into a handful of recurring types, and smart collections suit them well. Set up collections for bookings and confirmations, receipts, error messages, design inspiration, or recipes. They fill themselves based on content, so the next booking confirmation you capture joins the bookings collection after it’s processed.

A screenshot can appear in more than one collection. A screenshot of a competitor’s pricing page might belong in both design inspiration and competitor research, and it stays a single file.

The payoff shows up at the moment you need a set. Before a trip, the bookings collection already holds the flight, hotel and rental car confirmations you captured over several weeks. When a developer asks for every error you hit last sprint, the error messages collection has them together, each with a summary of what it says, so you can send them in one go instead of scrolling back through the camera roll.

Step 4: Find screenshots by their text or what they look like

Press Cmd+F (Mac) / Ctrl+F (Windows) or click Search. Fabric search covers text in screenshots and their visual content, so you can type “booking reference for the Lisbon apartment” or “dark mode dashboard with a sidebar”. Put a code or reference number in quotes for an exact match, and filter by kind of item to see images only.

When you remember one screenshot and want others like it, select it and run a similarity search. For images, similarity covers composition, color and subject, which suits collecting UI references or a series of charts.

You can also ask the AI assistant about a folder of screenshots, for example “what were the check-in times in my hotel confirmations?”. It answers from the items in that folder and cites them.

Step 5: Decide what stays on your phone

Once screenshots are in Fabric and grouped, the copies on your phone matter less. Some people keep them; others clear the Screenshots album now and then to free space, knowing the useful ones are searchable in Fabric. How to clear your camera roll without losing photos covers doing that safely.

Folders, spaces, tags and canvas are optional on top. If you prefer some manual order, see organization in Fabric for the options.

Frequently asked questions

How do I organize screenshots on my phone automatically?

Use the Fabric mobile app to import screenshots from iOS or Android automatically. Fabric then reads each one, suggests tags and adds it to any smart collections it matches.

Can I search the text inside my screenshots?

Yes. Text in images and screenshots is searchable, along with their visual content. How to search photos by what’s in them has more examples.

Does Fabric move screenshots into folders for me?

No. Fabric summarizes and labels each screenshot and suggests tags, and smart collections you create fill themselves from that. Folders are optional and stay as you set them.

Can I organize Mac and Windows screenshots too?

Yes. With the desktop app, move your screenshots onto the Fabric drive, or drag them into the app or upload them.

How do I find a screenshot when I only remember what it looked like?

Describe it in search, since Fabric understands the visual content of images. If you have a similar screenshot, run a similarity search from it.

Can I find screenshots by color?

Yes. Paste a HEX code into search or choose a color with the color picker.

Can I add notes to a screenshot?

Yes. Add a comment or tags to anything you save, including screenshots.

Is this available on the free plan?

File uploads and limited AI use are on the free plan, which has storage and file size caps. Connections and transcription need a paid plan. See pricing.
