How-to guide
How to organize receipts automatically

Receipts come in three forms, and each one goes somewhere different. Paper slips from shops and restaurants end up in a wallet or a kitchen drawer, emailed receipts sit in an inbox among newsletters, and app purchases leave a confirmation screen you might screenshot. When an accountant asks for every home office purchase from last year, or a return needs proof of purchase, the job is pulling those three piles together.
This guide covers how people usually keep receipts in order, where that takes the most effort, and how to send every kind of receipt into Fabric so it’s read and grouped by category on arrival.
How people usually organize receipts
The envelope or shoebox is still common: one per year, or one per category if you’re disciplined. It costs nothing. Thermal paper fades, though, and finding a specific receipt means tipping the envelope out on the table.
Photographing receipts with the phone camera is the usual upgrade. The photo survives after the paper fades, but it lands in the camera roll between family pictures, and there’s nothing to say which shop or what was bought unless you remember. Emailed receipts get a label or folder in Gmail or Outlook, which keeps them together and separate from the photos.
Expense apps scan receipts and pull out totals, and they’re the standard choice for work expenses that need approval. For household receipts, warranties and personal tax records, many people find them more than they need, and fall back to a spreadsheet with a row per receipt. How to keep receipts for tax time covers what records to keep in the first place.
Step 1: Capture receipts from every direction
For paper receipts, photograph them with the Fabric mobile app or upload a photo you’ve already taken. For receipts in other apps, use the share sheet on iOS or Android to send a file, link or screenshot straight to Fabric.
For emailed receipts, forward the message or the attached PDF to your Fabric email address. It accepts mail from your verified account address, and on a team you can approve extra senders. How to save email bills and receipts automatically walks through building that into a routine.
If screenshots of order confirmations are your habit, Fabric can import screenshots from iOS and Android automatically. You can also set the mobile app to back up specific photo folders, so an album you keep for receipts syncs without any extra step.
Step 2: Let Fabric read each receipt
Each receipt is processed when it arrives. Fabric reads the text in photos, screenshots and PDFs, including photographed text, so the shop name and items on a crumpled slip become searchable. It also creates embeddings so search can match the receipt by meaning, writes a short summary, extracts attributes such as content type and the concepts involved, and suggests tags.
A photo called IMG_4471.jpg might be summarized as a hardware store receipt for paint and brushes. Apply the suggested tags that help, and add a comment when the receipt needs context, like “for the rental flat” or “claimable”.
Step 3: Group receipts with smart collections
Set up a smart collection for each category that matters to you: home office, medical, business travel, home repairs, big purchases with warranties. Smart collections fill themselves based on content, so a train ticket receipt forwarded from your inbox and a photographed taxi slip both land in business travel.
A folder per tax year is a sensible addition if your accountant thinks in years. The collections then cut across years, and the folders keep each year’s set ready to hand over. Receipts for items under warranty can sit in a collection of their own, next to the manuals for the same products.
Step 4: Find a receipt when you need it
Press Cmd+F (Mac) / Ctrl+F (Windows) and describe the purchase. Fabric search reads the receipt text and matches by meaning, so “the receipt for the office chair” finds it without the shop’s name. Put an order number in quotes for an exact match, and filter by tag or location to narrow the list. How to find a receipt when you need it for expenses has more search examples.
Open a receipts folder and ask the AI assistant to list, for example, every receipt from a particular supplier this year. It answers from the receipts in that folder and cites each one, so you can open the original and check it. Save the answer as a note if you want a list to work from.
Step 5: Share the right receipts with your accountant
When it’s time to hand over records, share the folder with your accountant as a viewer, or as a commenter if they’ll have questions. External people can use shared links without signing up. How to get your receipts ready for your accountant covers what to include.
If you split household admin with someone, share the receipts space with them as an editor so you can both add to it. Their photos and forwarded emails are read and summarized the same way, and how to share household documents with your partner has ideas for dividing the rest of the paperwork.
Frequently asked questions
Can Fabric read text on a photo of a receipt?
Yes. Search covers text in images and screenshots, including photographed text, so receipts can be found by shop or item.
How do I get emailed receipts into Fabric?
Forward them to your Fabric email address. Gmail and Outlook are also available as connections, which need a paid plan.
Does Fabric sort receipts into folders for me?
No. It reads and summarizes each receipt and suggests tags, and smart collections you set up fill themselves from that. Folders are yours to arrange.
Can I save receipt screenshots without doing anything?
Yes. Fabric can import screenshots from iOS and Android automatically, and the text in them is searchable.
How do I keep receipts organized for taxes?
Set up smart collections for the categories your return uses, add a folder per tax year if helpful, and share that folder with your accountant when the time comes.
Can my accountant see my receipts without a Fabric account?
Yes. External people can open shared links without signing up, with the permission level you choose.
Can AI list my receipts for me?
Ask the AI assistant inside your receipts folder and it answers with citations to each receipt, so you can check the originals before using the list.
Is organizing receipts in Fabric free?
File uploads are on the free plan, which has storage caps and limited AI use. Connections such as Gmail need a paid plan; see pricing for details.
