Why your notes app keeps losing your data


Sync failures, data loss, overwritten edits. If you can't trust your notes app to keep your notes, what's the point?


The forums for every major notes app contain the same thread: "I just lost [X years] of notes." The specifics vary. Evernote sync conflicts that silently overwrote months of edits. Apple Notes that vanished after an iCloud hiccup. Google Keep notes that disappeared during an account migration. Notion pages that showed "failed to load" and never recovered. The emotional tone is always the same: devastation, followed by the realisation that there's no backup because the app was supposed to be the backup.


How data loss happens

Data loss in notes apps happens through several mechanisms, most of which are invisible until the damage is done.

Sync conflicts. You edit a note on your phone, then edit the same note on your laptop before the phone syncs. The app has to decide which version to keep. Some apps merge the changes. Some keep the most recent edit and silently discard the other. Some create a "conflict copy" that you might not notice for weeks. In the worst case, the version you spent an hour editing is overwritten by the version with a quick typo fix.

Cloud storage failures. Rare but catastrophic. The cloud provider has an outage, a migration error, or a data corruption event. Your notes are stored on their servers and affected by their infrastructure problems. In 2023, Evernote users reported notes disappearing during a backend migration that the company initially denied.

Account issues. A billing problem locks your account. A security incident forces a password reset that goes wrong. An account merge during a platform migration loses data. Your access to your notes depends on the account infrastructure working perfectly, and it doesn't always.

Format migrations. The app updates its internal format and the conversion isn't perfect. Rich formatting is lost. Embedded images are broken. Linked notes lose their connections. The migration is supposed to be seamless and it isn't, and you only discover the problems weeks later when you open a note that now looks wrong.

Deliberate deletion by the provider. The free tier is reduced. Notes beyond the new limit are archived or deleted. Features you relied on are deprecated and the content created with them becomes inaccessible. This is what happened when Evernote gutted its free tier.


What reliable notes infrastructure looks like

The common thread in every data loss scenario: your notes live on the provider's servers, and your access depends on everything going right on their end. When something goes wrong, you discover that "your" notes were never fully yours.

What about notes I've already lost in another app? Unfortunately, data lost in another app can't be recovered through Fabric. The protection is going forward: notes stored in Fabric's architecture are protected by encryption, reliable sync, and data ownership. Import your existing notes to move them to safer infrastructure.

Is cloud storage really more reliable than local storage? For durability, yes. Cloud storage providers like S3 replicate data across multiple data centres. A local hard drive has a single point of failure. The combination (cloud storage with local caching for access speed) provides both durability and accessibility.

What if my cloud storage account is compromised? Standard cloud storage security applies: strong passwords, two-factor authentication, IAM policies that limit access. The security of your notes scales with the security of your cloud storage account, which you control directly.
