Minutes are the formal record of a meeting: who attended, what was discussed under each agenda item, what was decided, and who agreed to do what by when. Boards, committees, residents’ associations, school governors, and project steering groups all rely on them, and they’re usually approved at the next meeting, so mistakes get noticed.

This guide covers how minutes are usually taken, the parts that make the job hard, and how to use Fabric to transcribe the meeting, draft minutes in your organization’s format, check them against what was said, and circulate them for approval.

How people usually take minutes

The classic method is a designated minute-taker typing or writing during the meeting. It works when that person knows the subject and can keep up, but it’s hard to record a decision accurately while also following a fast discussion, and the minute-taker rarely gets to take part.

Recording the meeting on a phone and writing the minutes afterwards gives a complete source to work from. The cost is time: finding the moment a motion was passed in a ninety-minute audio file means a lot of scrubbing back and forth.

Most organizations keep a minutes template in Word or Google Docs with the standard headings. Templates help with consistency, and they still leave the hard part, deciding what each agenda item came to, to whoever is writing. Draft minutes then go round by email, and corrections arrive as replies that someone has to merge by hand.

Step 1: Set up the minutes note before the meeting

Create a note in Fabric with your organization’s minutes structure: meeting name, date, attendees, apologies, then a heading for each agenda item, followed by sections for decisions, actions with owners and dates, and the date of the next meeting. Keep one copy as your template and paste its structure into a new note for each meeting.

Fill in what you already know, such as the agenda items and the expected attendees, before the meeting starts. Fabric’s notes and docs editor supports collaborative editing, so the chair can add to the agenda in the same note.

Step 2: Transcribe the meeting

For a meeting held on Zoom, Microsoft Teams, or Google Meet, the Fabric desktop app detects the call and offers to transcribe it, with no bot joining. For a meeting in a room, start a voice or meeting note manually in any Fabric app and set the phone or laptop in the middle of the table. How to record and transcribe an in-person meeting has more on setup.

Transcription needs a paid plan; see pricing for teams for group options. Announce at the start that the meeting is being transcribed for the minutes, and record that in the minutes too. Check your organization’s rules and local law on recording.

During the meeting, add brief notes under each agenda heading, such as “motion carried, 6 for, 1 abstention” or “treasurer to circulate revised budget”. The transcript runs in real time, and you can search it if you need to confirm the exact wording of a motion before moving on.

Step 3: Draft the minutes from the write-up

As soon as the meeting closes, Fabric reads the transcript alongside the notes you added under each heading and produces a write-up. Use it as the source for your minutes. Open your minutes note and ask the AI assistant to fill in each section from the meeting, in your template’s structure. Each change it makes to the note can be accepted or rejected.

Minutes should record decisions and actions, not a word-for-word account, so check the draft against the transcript. The assistant cites its sources with clickable timestamps, which makes it quick to listen to the moment a decision was made and confirm who proposed it. Correct the transcript itself where a name or figure was misheard.

Step 4: Circulate the draft and record approval

Share the draft with attendees as commenters. They can highlight text and add a comment, and you can mark each comment completed once you’ve made the change, so corrections work like a checklist instead of an email thread. Collaboration covers comments and permissions in more detail.

Once the minutes are approved, share them as view only, or publish them as a link if they need to reach a wider group such as members or residents. For confidential minutes, add password protection on the Pro and Team plans. There’s no password reset, so store it in a password manager.

Over time, the folder of minutes becomes a searchable record. Fabric search matches by meaning, so “when did we agree to change the membership fee” finds the right meeting. How to keep a record of decisions so they don’t get lost covers that side in more depth.

Frequently asked questions

What should meeting minutes include?

Usually the meeting name, date, attendees and apologies, a summary of each agenda item, decisions taken, actions with owners and deadlines, and the date of the next meeting. Your organization may have its own required format.

Can AI write meeting minutes?

AI can produce a draft. Fabric creates a write-up from the transcript and your notes, and the AI assistant can reshape it into your minutes format. The minute-taker should check the draft against the transcript before it’s circulated.

Should minutes be a word-for-word record?

Generally no. Minutes record what was decided and agreed, with enough context to understand it. The transcript stays available in Fabric if anyone needs to check the exact wording.

How do I take minutes for an in-person meeting?

Start a voice or meeting note manually in any Fabric app, place the device where it can hear the room, and add brief notes under each agenda item as you go.

Can attendees comment on draft minutes?

Yes. Share the draft with commenter permission. They can highlight text and add comments, and you can mark each comment completed once it’s handled.

Can I keep board minutes private?

Fabric content is private unless you share or publish it. On the Pro and Team plans you can also add a password to a file or folder.

Do I need a paid plan to take minutes in Fabric?

Notes are on the free plan, so you can type minutes there. Transcribing the meeting needs a paid plan.

How do I find a decision from an old meeting?

Search for it by describing the decision. Fabric searches minutes and transcripts by meaning and opens transcripts at the timestamp.

How soon should minutes be sent after a meeting?

Many organizations aim to circulate a draft within a few days, while memories are fresh. Since Fabric produces the write-up as soon as the meeting ends, you can start drafting the minutes the same day.
