So speichern Sie wichtige E-Mails außerhalb Ihres Posteingangs

Some emails matter long after they arrive. A job offer with the agreed salary, a landlord confirming the deposit terms, a flight booking, a supplier’s quote, a doctor’s instructions after an appointment, a client approving a change in writing. In the inbox, these sit among newsletters, notifications and thread replies, and when you need one a year later, you’re searching by a sender’s name you only half remember.

This page covers the usual ways people keep important emails safe, where those habits fall short, and how to save the ones that count to Fabric so they live next to the documents they relate to and can be found by what they said.

How people usually keep important emails

Starring or flagging is the most common method. It’s one click and keeps the email in place. Over time the starred list grows to hundreds of messages with very different levels of importance, and it’s still inside the same inbox.

Labels and folders give more structure. Many people set up a few, such as Finance, Home, Work, and file messages by hand. The system holds up while you keep at it, and the emails still sit apart from the PDFs, notes and files on the same subject that live elsewhere.

Printing to PDF and saving the file into a cloud drive is the approach people use for the most important messages: contracts, offers, legal correspondence. It gets the email out of the inbox. It’s also several steps per message, and the saved PDF is often named something like Re_ Offer letter.pdf. Freelancers juggling several clients often describe email as hard to search when they need everything about one client or project in front of them. How to find an old email attachment fast looks at the retrieval side of this.

Step 1: Forward important emails to Fabric

Every Fabric account has its own email address. Forward an email to it, and the message, its attachments, or a note you write in it are saved to your library. Email to Fabric only accepts mail from your verified account address, so others can’t send things into your library. On a team, you can approve extra sender addresses.

This works from any mail client on any device, including the phone. When an important email arrives, forwarding it takes a few seconds, and you can add a line at the top explaining why you saved it.

Step 2: Connect Gmail or Outlook

For your mailbox as a whole, Fabric connects to Gmail and Outlook. Go to the Fabric marketplace, choose the app, click Install, sign in and grant permissions, and Fabric confirms the connection. Connections need a paid plan.

With a mail connection in place, search and the AI assistant can look through your email as well as your Fabric library. That covers the messages you never thought to forward, while forwarding remains the way to keep a specific email alongside your own files.

Step 3: Keep emails next to the files they belong with

Once an email is in Fabric, put it in the folder for the thing it’s about. The offer email goes in the job folder with the signed contract. The landlord’s deposit message sits with the lease and the move-in photos. The client approval sits in that client’s project folder.

You don’t have to file everything, though. Fabric processes each email when it arrives: it creates embeddings so search can match by meaning, writes a summary, extracts topics, and suggests tags. Smart collections fill themselves from those attributes, so a collection for travel bookings or for legal correspondence can collect matching emails without you moving them.

For bills and receipts that arrive by email on a schedule, how to save email bills and receipts automatically sets up a routine for that kind of mail.

Step 4: Find an email by what it said

Press Cmd+F (Mac) / Ctrl+F (Windows) and describe the email. Search matches by meaning and by keyword, and it reads text inside attachments too, so “email confirming the deposit would be returned within 30 days” can find the message even if those weren’t the exact words. Put a phrase in quotes for an exact match, such as a booking reference.

If you’ve connected Gmail or Outlook, click inside the knowledge search panel on the search screen (on the right on web and desktop, or in the bottom drawer on mobile). It searches Fabric and your connected apps together, and you can ask follow-up questions.

Step 5: Ask questions about what you’ve saved

Open a folder and ask the AI assistant. In a folder of correspondence about a house purchase, “what did the seller’s agent agree to fix before completion?” returns an answer citing the emails it used. The assistant can also explain a dense message in plain language, and you can save the answer as a note.

Your saved emails are available on the web, the desktop apps and the phone apps, so the message is to hand wherever you are when someone asks for it.

Frequently asked questions

How do I save an email outside Gmail?

Forward it to your Fabric email address. The message and its attachments are saved to your Fabric library, where you can file it with related documents.

Can I save emails from Outlook?

Yes. Forward them to your Fabric email address from Outlook, or connect Outlook to Fabric so search and the AI assistant can reach your mailbox. Connections need a paid plan.

Can anyone send emails to my Fabric address?

No. It only accepts mail from your verified Fabric account address. On a team, you can approve extra sender addresses.

Are email attachments saved too?

Yes. You can forward emails, attachments or notes to your Fabric address, and search reads the text inside documents such as PDFs.

How do I keep important emails with related documents?

Forward the email to Fabric and put it in the same folder as the documents it relates to, such as a contract or a lease.

Can I search my Gmail and my files at the same time?

Yes, with Gmail connected. The knowledge search panel and the AI assistant search across Fabric and your connected apps.

Is it better to print emails to PDF or forward them?

Forwarding to Fabric takes one step and keeps the attachments with the message. Printing to PDF still works if you need a fixed copy for someone else.

Can I find an email I saved if I don’t remember the sender?

Yes. Describe what the email was about and search matches by meaning, so the sender’s name isn’t needed. Fabric also writes a summary of each email you save, which helps when skimming several possible matches.

Which Fabric plan do I need to connect Gmail or Outlook?

Connections to other apps, including Gmail and Outlook, need a paid plan. See pricing for what each plan includes.
