So schützen Sie ein Word-Dokument mit einem Passwort

Word documents carry a lot of private detail. A draft offer letter with a salary figure, a grant application before submission, a reference letter, a grievance write-up for HR, a manuscript chapter sent to an early reader. They’re usually emailed as DOCX attachments, which means the file is open to anyone who can read that inbox, now or later.

This guide explains how people usually lock a Word file, what each option is good and less good at, and how to put a password on a Word document in Fabric and send it as a link.

How people usually password protect a Word document

Word has its own option. On Windows it’s under File, Info, Protect Document, Encrypt with Password; on a Mac it sits under the Review tab’s Protect Document setting. The password is written into the file, so the document asks for it wherever it’s opened. It’s free if you already have Word, and it travels with the attachment. The difficulties appear later: the password can’t be changed on copies you’ve already sent, and some recipients open DOCX files in other apps or on a phone, where an encrypted file can be awkward to open.

Word’s Restrict Editing setting is sometimes mistaken for a password lock. It limits what people can change in the document, and it doesn’t stop them reading it, so it solves a different problem.

Another route is to upload the file to Google Drive or OneDrive and limit the link to named people. That keeps one copy instead of many, though the recipient may need an account with the same provider, and the file now sits in a drive alongside everything else, with the sharing settings to keep an eye on. How to store important documents securely online looks at the broader options for sensitive files.

Step 1: Upload the Word document

Drag the DOCX into Fabric, paste it, or click Upload a file. If you keep working in Word on your computer, the Fabric desktop app mounts Fabric as a drive in Finder or File Explorer, so you can save the document straight into a Fabric folder.

If the document reached you as an email attachment, such as a contract draft from a lawyer or a letter from a colleague, forward the email to your Fabric email address and the attachment arrives in your library without a trip through your downloads folder. Fabric only accepts mail sent from your verified account address.

Fabric reads the text inside DOCX files, so the document is searchable by its contents. Search matches by meaning and keyword, which helps when you later need to find which draft mentioned a particular clause or figure.

Step 2: Add a password to the document

Right-click the document, or open it and click the three-dot menu, and choose Add password protection. Enter the password. Password protection needs a Pro or Team plan.

Before you close the dialog, put the password in a password manager. Fabric has no password reset, so a lost password means a locked document.

Anyone with access to the document now has to enter the password to open it, including colleagues in your workspace. Access lasts 6 hours, then they enter it again. If you’re protecting a set of related documents, such as every draft of a funding bid, keep them in one folder and protect that folder; files added later are covered by the same password.

Step 3: Share the document for review

When someone needs to respond to the text, click Share and invite them with commenter permission. They enter the password, then highlight text and add an optional comment, so feedback sits next to the sentence it’s about. You can mark each comment completed once you’ve dealt with it. The annotations page shows how highlights and comments work.

External reviewers can open a shared link without signing up for Fabric. Choose the role to match the job: viewer for someone who only needs to read, commenter for someone giving feedback. Roles and permissions describes each one.

Step 4: Publish the final version as a protected link

When the document is ready to hand over, use the Publish tab instead. Click Create link, then name the link and choose whether to collect engagement analytics, allow indexing by search engines, let visitors copy it to their Fabric, and allow downloads. If the recipient needs to edit the DOCX in Word afterwards, turn downloads on. If they only need to read it, you can leave downloads off. The publish page explains the options.

With analytics turned on, link analytics show visits to the link with dates, location and device. Analytics don’t tell you who the visitor was, so if several people are getting the document, give each one a separately named link.

Send the password by a different route from the link, for example a phone call or text message. If you need to change it, enter the old password and choose a new one. To remove protection, enter the password to confirm.

Frequently asked questions

How do I put a password on a Word document?

Inside Word you can encrypt the file from the Protect Document setting. In Fabric, upload the DOCX, right-click it and choose Add password protection, then share or publish the link.

Can I password protect a Word document on a Mac?

Yes. Word for Mac has a Protect Document option under the Review tab. Fabric works the same way on Mac, Windows, Linux and the web.

What’s the difference between Restrict Editing and a password?

Restrict Editing in Word controls what people can change in a document. A password controls whether they can open it at all.

Can reviewers comment on a password-protected Word document?

Yes, if you share it with commenter permission. They highlight text and add comments after entering the password. Published links are view only.

Can I change the password after sharing?

Yes. Enter the old password and choose a new one. The link doesn’t change, so only the password needs to be sent again.

What if I forget the password?

Fabric has no password reset. Save the password in a password manager when you set it.

Does password protection in Fabric need a paid plan?

Yes. It’s on the Pro and Team plans. Uploading documents and publishing are included on the free plan. See pricing.

Does the person I send it to need a Fabric account?

No. External people can open shared and published links without signing up. They need the link and the password.

Can I protect a whole folder of Word documents at once?

Yes. Add password protection to the folder. It covers the documents in it and any added later.
